SquashBusters is a 28-year-old sports-based youth development program that uses a combination of squash, fitness, academic support and enrichment, community service, and mentoring to improve the lives of youth in Boston, Lawrence, and Providence. SquashBusters’ mission is to challenge and nurture youth in these cities – as students, athletes, and citizens – so that they can recognize and fulfill their greatest potential in life. SquashBusters currently serves 300 middle school and high school students who practice three days a week throughout the school year and participate in weekend practices, tournaments, and summer opportunities. After high school graduation, students join the Post-Secondary Success Program, and a dedicated staff team supports them in their chosen post-secondary path, and provides career development, internship placement, and employment opportunities. SquashBusters currently serves 180 post-secondary students, and with our first class of Providence high school seniors graduating this spring, the program is growing. In Boston, programming takes place at the Badger-Rosen SquashBusters Center located on Northeastern University’s campus. In Providence, we work and play out of the Gorgi SquashBusters Center on the campus of Moses Brown School.  In Lawrence, we are in the process of building a facility, in partnership with the City of Lawrence and others, that will literally break new ground for the urban squash movement. Overview:

The Development and Office Coordinator (DOC) plays an integral role in ensuring SquashBusters’ headquarters and development operations run smoothly and efficiently. The DOC supports the Development Team, which includes the Chief Executive Officer, Chief Development Officer, Providence Executive Director of Development and Partnerships, Lawrence Executive Director of Development and Partnerships, Manager of Foundation Relations and Communication, and Events Manager, by handling various administrative duties. Responsibilities include donation tracking and processing, board support, as well as assistance with event preparation and mailings as needed. Additionally, the DOC oversees general office management, maintaining supplies, organizing mail, and checking the SQB main inbox. This role requires a team-oriented self-starter who proactively solves problems and provides support where needed. It is a full-time position (40 hours per week) with occasional heavier workloads around key fundraising events. The role requires four in-person days per week, with the flexibility to work remotely on the fifth day if residing in a state where SQB operates.

Responsibilities:

Development Support: Donation Processing & Tracking (65%)

  • Maintain daily oversight of mail and SQB accounts, receiving and tracking incoming checks and deposits.
  • Process incoming pledges and donations through channels such as, Fidelity DAF, Benevity, Brightfunds, PayPal, CyberGrants, PWC, YourCause LLC, GivenGain, Classy, and Cauze Charitable; log all pledges and receivables.
  • Generate gift acknowledgements, entering/updating details in the Master Donation Log, Salesforce and Classy.
  • Maintain daily communication with the development and finance teams regarding all donations to ensure proper classification of all transactions.
  • Provide Development Team with timely reports of monies received and indicate what actions, if any, team members need to take.
  • Create monthly donation reports and meet to reconcile donations with finance department.
  • Document and prepare donations made by physical check for deposit.
  • Prepare and track thank you letters to donors and supporters in Salesforce.
  • Manage database and communication tools used by the Development Team, including Classy, Mailchimp, and Salesforce; Maintain accurate and updated account and contact information in databases.

Development Support: Board & Event Logistics (15%)

  • Attend all Board meetings, handling logistical needs, including space and technology set-up.
  • When necessary, support the Manager of Foundation Relations and Communication (MFRC) with scheduling, communication, meeting materials, and document management.
  • Support major fundraising events as needed by assisting development team with creating labels, sorting swag, stuffing bags, and staffing events.

Office Management (20%)

  • Ensure office inventory and equipment is stocked and in working order, managing WB Mason and copier accounts and liaising with Northeastern IT department as needed.
  • Maintain clean and welcoming office and kitchen space, facilitating team approach to organization.
  • Oversee communication through SQB’s general email inbox and voicemail, responding to messages or directing them to appropriate team members.
  • Maintain daily oversight of mail, ensuring timely distribution and communication about incoming messages.
  • Sort and distribute incoming mail and packages and facilitate pick-up/drop-off of outgoing materials.
  • Coordinate with facilities partners for office upkeep and event preparation.
  • Assist with preparations for full-staff and IC committee meetings, including space and material prep, food ordering, parking validation, etc.

Qualifications: While no one person will embody all of the qualities enumerated below, the ideal candidate will possess many of the following professional and personal abilities, attributes, and experiences. 

  • At least 3 years of professional experience in an office setting with a background in customer-service.
  • Strong organization and attention to detail; ability to communicate effectively, orally and in writing, with a variety of stakeholders, including donors, board members, staff, students/alumni, and the general public.
  • Ability to work independently and thrive in a fast-paced environment; self-motivated and proactive.
  • Reliable, responsible, disciplined, engaged, self-reflective, and open to receiving and giving feedback.
  • Ability to relate effectively to diverse groups of people; formal DEI trainings a plus.
  • Willingness to “roll up sleeves” to execute on day-to-day tasks and support the team with important priorities.
  • Strong knowledge of Microsoft Office required; knowledge of Salesforce, Classy, and/or Mailchimp a plus.
  • Comfort with databases, computers, and printers/copiers and a willingness to learn new technology.
  • Desire to develop in-depth knowledge of job responsibilities and remain in role for 3+ years.
  • Availability to work approximately four weekend events per year.

Compensation:

  • Annual salary, starting in the mid 50’s, commensurate with experience.

Boston Program Director

Overview:

The Program Director (PD) will help determine the overall vision for all programming at their SquashBusters’ site and will oversee its implementation.  The PD will set the tone for hard work and commitment with a consistent presence and will create a positive, dynamic culture for staff, students, and families. The Program Director will directly supervise and support academic and squash team members, leading meetings and trainings. The PD will ensure strong partnerships with ‘feeder’ schools and effective recruitment processes that lead to full enrollment. The Program Director reports to the Chief Executive Officer (CEO).

Supervisory Responsibility: Boston Program Team Members (two squash staff, two academic staff, and one co-op)

Home Office: Boston

Schedule: Full-time role with a primarily in-person schedule (some remote work possible). Occasional travel required.

 

Responsibilities:

Programmatic Responsibilities

  • Oversee the development and implementation of all programming (academics, squash & fitness, social & emotional) to ensure high-quality and mission alignment.
  • Ensure full participant enrollment and high attendance to achieve full space utilization and maximum dosage/impact. Lead recruitment efforts accordingly.
  • In collaboration with the leadership team and other site PD’s, drive programmatic vision and ongoing program development.
  • Ensure maintenance of student standards and performance benchmarks.
  • Develop additional strategic plans documents to guide programming and overall vision.
  • Use data to identify programmatic trends and create and/or adapt programs to meet identified needs.

Supervisory and Leadership Responsibilities

  • Lead, manage and directly supervise team of academic and squash team members.
  • Conduct both informal and formal observations of all staff members with formal observations involving pre- and post-observation meetings and a written summary of the observation.
  • Meet regularly with staff members and conduct program staff evaluations at both mid-year and year-end.
  • In collaboration with leadership team, implement staff improvement plans and termination procedures when appropriate.
  • In collaboration with leadership team, create staff retention and appreciation initiatives.
  • In collaboration with leadership team, recruit and hire site program staff.
  • Build positive staff culture and work environment and motivate team around common goals.
  • Facilitate and lead meetings and trainings.

Partnerships/Engagement

  • Maintain relationships with partner schools to ensure consistent flow of participants and integration into school communities.
  • Evaluate partnerships with an eye towards fit and seek new partnerships when necessary.
  • Manage strategic relationships with our facility partners, Northeastern and LearnSquash to maximize court usage, increase opportunities for collaboration, and support the interests of all community members.
  • Ensure families are kept informed about their child(ren)’s progress and are included as partners in school decisions; ensure families are aware of SQB programming.
  • Ensure volunteers are well trained, supported, and feel included in the SQB community.

Administrative/Finance/HR Responsibilities

  • Coordinate all program logistics including daily scheduling, program calendar, summer program structure and details.
  • In collaboration with leadership team, maintain and update procedure manual to reflect organizational and programmatic policies and approaches.
  • Oversee program budget and ensure team adheres to expense tracking policies and procedures.
  • Maintain and organize relevant documents in Microsoft Teams.

Academic Coordinator, Middle School

Position Summary

The SquashBusters Boston program is led by a dedicated team of professionals that promote the benefits of supportive engagement on the court and in the classroom for students across the City of Boston. SquashBusters aims to ensure that its graduates (1) enroll in and successfully complete college or other post-secondary opportunities; (2) understand and embrace life-long habits of health and wellness; and (3) develop a deep sense of character and personal integrity.

Specific academic programming includes homework help, enrichment activities, and one-on-one post-secondary mentoring to help students apply to, enroll in, and graduate from a best-fit postsecondary opportunity. Students develop their personal character through community service, leadership opportunities, and travel experiences that broaden their horizons. Additionally, regular practice, squash competitions, and fitness activities demonstrate the importance of health and wellness for life.

The Academic Coordinator for Middle School is responsible for leading the 6th – 8th grade academic and enrichment programming at SquashBusters. The Academic Coordinator will support a cohort of approximately 60 students across three support pillars: college, character, and health by planning and leading enrichment sessions and homework sessions for middle school students and supporting activities for high school students led by Academic Coordinator for High School. Additionally, the Academic Coordinator plays a critical role in recruiting and welcoming new 6th and 7th grade students to the team as well as in supporting 8th grade students with their high school planning and applications.

The Academic Coordinator is an integral member of Boston Program team and will work closely with other team members to provide holistic and individualized support to all students.

Program Delivery

  • Directly support a caseload of 60 6th – 8th grade students across the college, character, and health pillars of the SQB program.
  • Plan, supervise, and direct impactful and innovative enrichment activities to help students persist through middle school, as well as to prepare students for the transition from middle school to high school.
  • Plan, supervise, and direct daily homework help sessions to support students’ schoolwork and prepare supplemental activities for students who have completed their homework.
  • Work with students and families to navigate and successfully complete the high school choice, ISEE test prep, and/or private school application process with a focus on fit for each family.
  • Recruit and/or assist in recruiting ~40 student try-outs per year for SQB program.
  • Build a culture of community, leading from a transformative relationship and youth development perspective, within the middle school cohort.
  • Create and maintain documentation of team building, leadership, and enrichment activities.

Outreach and Engagement

  • Communicate with parents/guardians so that they feel like part of the SQB community and can support their student’s growth and development at home; meet regularly with families about the secondary school process and their student’s progress as needed.
  • Communicate with a student’s teachers, advisor, and guidance counselors as needed.
  • Communicate with partner community-based organizations to diversify academic enrichment sessions for current students.

Special Event Management

  • Coordinate and implement team building, summer opportunities, and other special programs.
  • Organize and participate in social events and field trips for appropriate grade levels.
  • Chaperone approximately three-four annual overnight trips for SquashBusters participants.
  • Drive students to/from special events in SquashBusters vehicles as needed.

Administration Responsibilities

  • Organize schedules and materials and collect and enter student data in a Salesforce database.
  • Assist with implementation of program evaluation (T-Reports).
  • Plan general weekly/monthly schedule with colleagues and keep appropriate calendars updated.
  • Document and track program spending and work with team to manage program budget.

Overview:

The Squash Coordinator is responsible for planning and running squash and fitness programming for SquashBusters’ Providence (SQB) middle and high school students. The Squash Coordinator will organize students’ participation in squash tournaments, team matches, and summer camps. As a member of the program team, they will collaborate with the Program Director and all program staff to ensure an integrated approach to SQB academic, sport and character development programs. Through these programs, the program staff will challenge, nurture, and hold accountable SQB youth so that they recognize and fulfill their potential.

 

Responsibilities:

Program Delivery:  Day-to-Day

  • Plan, supervise, and direct weekday and Saturday squash practices and matches throughout the school year for middle and high school teams.
  • Plan, supervise, and direct fitness programming, ensuring it is integrated with the squash and overall program.
  • Ensure a productive and positive environment at SQB by managing student behavior and instilling SQB values.
  • Provide students with individual feedback about their progress.
  • Recruit, manage, and train squash volunteers, ensuring a 4:1 of student to staff/volunteer.
  • Meet with both squash and academic colleagues to develop an integrated approach to work with students.

Outreach/Engagement

  • Effectively and consistently communicate with parents/guardians to ensure that necessary forms and paperwork are complete and so that families are aware of their child’s progress and feel like part of the SQB community.
  • Help recruit students and organize tryouts for SQB program as needed.
  • Communicate with external coaches and organizations to provide students with opportunities for additional practice, competition, and post-secondary recruitment when applicable.

Special Event Management

  • Schedule, organize, and chaperone tournament play, private school matches, varsity team matches, and SEA events.
  • Help students connect to appropriate summer squash opportunities.
  • Recruit, coordinate and implement SQB summer programming.
  • Participate in community service projects and field trips as needed. If appropriate, help organize overnight trips.
  • Identify and organize workshops, demo matches, and special fitness training sessions throughout the year.

Administrative Responsibilities

  • Collect and update paperwork for students such as parent/guardian contracts and physicals, and update information and daily attendance in Salesforce database.
  • Create/maintain documentation of squash and fitness activities as well as weekly/monthly schedules.
  • Drive students as needed to and from practice, tournaments, matches, camps, and community service projects.
  • Manage athletic equipment inventory; organize and clean up squash closet and locker rooms at end of day.

Academic Coordinator – Boston

Overview:

The Academic Coordinator is responsible for planning and running homework help sessions, team building activities and academic enrichment sessions for SquashBusters (SQB) students, with a focus on grades 9-11, as well as special programming including community service outings and field trips. Additionally, the Academic Coordinator will also be responsible for driving students to and from practices, special programming, and other special events.  As a member of the program team, they will collaborate with the Program Director and all program staff to ensure an integrated approach to SQB academic, sport and character development programs.

Responsibilities:

Program Delivery: Day-to-Day

  • Plan, supervise and direct daily homework help sessions to support students’ schoolwork.
  • Plan, supervise and direct impactful and innovative academic enrichment, team building, and leadership activities.

  • Monitor students’ progress in school by communicating regularly with school staff to determine the best ways that SQB can support a student’s success.
  • Communicate with parents/guardians to ensure that necessary forms and paperwork are complete and so they are aware of their child’s progress, feel like part of the SQB community and can support their child’s growth and development at home.
  • Recruit or assist in recruiting students for SQB program as needed.

Special Event Management

  • Recruit, coordinate, and implement summer session program.
  • Help students connect to appropriate opportunities such as external summer camps, SAT prep, and employment.
  • Identity, organize and participate in community service projects and field trips, including on some Saturdays during the year. Chaperone/drive students for squash events as needed.
  • Identify and organize workshops or guest speakers on relevant topics throughout the year.

Administrative Responsibilities

  • Collect and update paperwork for students such as parent/guardian contracts, physicals, report cards and program fees and update these details as well as daily attendance in Salesforce database.
  • Drive students as needed to and from practices, tournaments, matches, camps, and other events.
  • Manage classroom supplies, daily snacks, and electronic documentation of session plans.
  • Plan general weekly/monthly schedule with colleagues and keep appropriate calendars updated.

Qualifications: While no one person will embody all of the qualities enumerated below, the ideal candidate will possess many of the following professional and personal abilities, attributes, and experiences.

  • Bachelors or Associates degree or relevant experience
  • Valid driver’s license (required) with a clean driving record, and a willingness to drive a 14-passenger van (training provided)
  • Ability to work independently and thrive in a fast-paced environment; self-motivated and proactive
  • Reliable, responsible, disciplined, self-reflective, and open to receiving and giving feedback
  • Strong teamwork, organization, communication, and group facilitation skills
  • High energy and willingness to “roll up sleeves” to execute on day-to-day activities
  • Ability to relate effectively to diverse groups of people from a variety of backgrounds and comfort communicating with family members who primarily speak languages other than English
  • Spanish language proficiency and prior recent participation in formal diversity training, a plus
  • Regular night and weekend hours: ability to regularly work until 7:00 P.M 3-4 days of the week during the school year, as well as weekends 2-3 times per month during the school year
